Terms and Conditions

Below are the Terms & Conditions of Asian Adventure Treks & Expeditions. Please read them carefully, as they outline important information regarding our services, policies, and your responsibilities as a traveler:

Booking and Payment

1. Booking Confirmation:

  • A booking is confirmed when a non-refundable deposit of 25% of the total trip cost is received.
  • The remaining balance must be paid in full at least 15 days prior to the trip departure date. 

2. Payment Methods:

  • Payments can be made via bank transfer, credit card, through website link or other approved methods as specified by Asian Adventure Treks & Expeditions.

3. Cancellation Policy

3.1 Cancellation by the Client:
  • Cancellations made more than 30 days prior to the trip departure will result in the forfeiture of the deposit.
  • Cancellations made within 30 days of the trip departure will incur a 100% cancellation fee of the total trip cost.
3.2 Cancellation by the Company:
  • If the company cancels the trip for any reason, clients will receive a full refund of all payments made to date. This does not include refunds for any personal expenses such as airline tickets, travel insurance, or visa fees.

4. Changes to the Itinerary

4.1 Client-Initiated Changes:
  • Any changes to the itinerary requested by the client may incur additional charges and are subject to availability. The itinerary are always flexible and can always be changed during the trek or tours but upgrading hotels / extra services might incur extra charges to clients. 
4.2 Company-Initiated Changes:
  • The company reserves the right to make changes to the itinerary due to unforeseen circumstances such as weather conditions, natural disasters, or political instability. In such cases, the company will make every effort to provide suitable alternatives. The changes will be made only with the agreement with clients. 

5. Travel Insurance

  • Mandatory Insurance: Clients are required to have comprehensive travel insurance that covers trip cancellation, medical expenses, helicopter rescue, and repatriation. In case of peak climbing, clients must do the insurance that covers the high altitude insurance with rescue policy. 

6. Health and Fitness

  • Health Requirements: Clients are supposed to be in good health and physical condition for trekking / peak climbing or tour activities. It is the client's responsibility to disclose any pre-existing medical conditions that may affect their ability to participate in the trip. Also clients must disclose any allergies / health issues / medicine if needed to the company before arrival so that we can prepare and pre inform guide for safety precaution during the trip. 

7. Liability

  • Assumption of Risk: Clients participate in treks and expeditions at their own risk. The company is not responsible for any accidents, injuries, or illnesses that occur during the trip. However, our trained and professional guide will make sure to take care of the group and prevent from any injuries or accident possible. 
  • Limitation of Liability: The company’s liability is limited to the services described in the booking confirmation. The company is not liable for any additional costs or losses incurred as a result of delays, cancellations, or changes in the itinerary due to factors beyond its control.

8. Complaints and Disputes

  • Resolution of Complaints: Any complaints should be reported immediately to the trip leader or guide to resolve the issue. If a satisfactory resolution is not achieved, the complaint must be submitted in writing to the company within 30 days of the trip's conclusion.
  • Governing Law: These terms and conditions are governed by the laws of Nepal. Any disputes arising from these terms and conditions shall be resolved in the courts of Nepal.

9. Acceptance of Terms

  • Agreement to Terms: By booking a trip with Asian Adventure Treks & Expeditions, clients agree to abide by these terms and conditions.
